Choosing a digital signage CMS is a long-term decision — it is the software you will log into every week for years. Questions to ask any vendor
Whichever platforms you shortlist, put the same questions to each so you compare like with like:
- What hardware does it run on, and do I buy it or do you supply it? This drives a big part of total cost.
- What happens when the internet drops? You want “it keeps playing the last schedule”, not “it goes blank”.
- Can non-technical staff run it after a short training session? Ask for a live demo with your own content.
- How do multi-site permissions work? Can each location manage its own screens without touching others?
- Who installs and supports me, and in which timezone and language? Self-serve is fine until something breaks.
- What is the true monthly cost per screen, including any player hardware? Get the all-in number.
- How do I get my content and settings out if I leave? Avoid platforms that make leaving painful.
The answers matter more than any feature checklist.
Switching costs and lock-in
If you already run one platform, factor in the cost of switching before you move. The screens and players may or may not carry over, content usually has to be rebuilt or re-imported, and staff need to relearn a dashboard. None of this is a reason to stay on a platform that does not fit — but it is a reason to choose carefully now so you are not switching again in a year. Ask each vendor directly how migration on and off their platform works; a confident, straight answer is itself a good sign.
Fit matters more than a feature race
It is easy to pick software by counting features, but the platform with the longest feature list is not automatically the best for you. A small QSR with three screens and a large hospital group with two hundred have almost opposite needs — the first wants dead-simple menu updates, the second wants roles, monitoring and rock-solid uptime across branches. Score each option against your jobs to be done, weight support and reliability heavily, and treat unused features as clutter rather than value.
Our honest take
